2. How We Collect Information (Our Software Integrations)

We collect information directly from you, as well as via integrated real estate industry platforms:

  • Ignite (realestate.com.au): When you submit a residential rental application digitally via Ignite, your application data and uploaded ID documents are processed securely through their system.
  • Direct Interaction: Information provided via physical REIQ forms, direct emails, phone calls, and open-home inspection check-ins.

3. How We Use Your Information

We use your information to conduct everyday residential property management operations, including:

  • Assessing and verifying your suitability during the rental application process.
  • Managing tenancies, executing General Tenancy Agreements (Form 18a), and maintaining accurate financial ledgers.
  • Coordinating property maintenance, repairs, smoke alarm compliance tracking, and routine property inspections.
  • Communicating administrative updates, emergency notices, and financial statements to landlords and tenants.

4. Who We Share Your Information With

We do not sell your personal information. To deliver our residential management services, data is disclosed to:

  • Reapit PM / Console Cloud: Our core property management software provider. Your data is hosted on secure, encrypted cloud infrastructure managed by Reapit/Console.
  • Property Owners (Landlords): Summarised tenant applicant files, references, and routine inspection reports are shared with property owners for approvals and property updates.
  • Maintenance Contractors & Compliance Vendors: Providing your contact details to tradespeople or safety inspectors (e.g., smoke alarm testers, plumbers, electricians) to arrange property access.
  • National Tenancy Databases: To check rental histories or report default tenancies in strict accordance with Queensland tenancy laws.
  • Residential Tenancies Authority (RTA): Submitting necessary details for rental bond lodgements, claims, or official dispute resolutions.

5. Data Security, Shredding, and Retention

We rely on advanced digital security frameworks and strict industry practices to protect your sensitive files:

  • Ignite Application Security: Sensitive identification documents (like driver's licenses) processed via Ignite are digitally destroyed/shredded 21 days after submission to minimize data breach risks. Unsuccessful applications are handled or deleted within legally mandated timeframes.
  • Console Cloud Infrastructure: Active tenant and landlord profiles are encrypted, stored safely behind robust firewalls, and restricted via mandatory staff access controls.
  • Physical Records: Any printed paperwork, application forms, or printed ledgers are kept in locked filing cabinets and securely shredded when no longer legally required.

6. Your Rights

Under the APPs, you have the right to:

  • Access: Request a copy of the personal information we hold about you at any time.
  • Correction: Ask us to update or correct inaccurate, outdated, or incomplete information.
  • Complaints: Lodge a complaint with us if you believe your privacy has been breached. If unsatisfied with our response, you can escalate the matter to the Office of the Australian Information Commissioner (OAIC).
